Budget is often a crucial part to event planning. Budget can affect the overall experience of delegates attending along with the overall success of the event. Securing an event sponsor can help event planners with their budgeting.

Event sponsors who are well represented at events are more likely to return and sponsor future events.

Outline your event strategy, objectives and purpose

Define what it is that your company is trying to achieve. Set a strategy and objectives that you are confident communicating to your potential sponsor. This will help the sponsor build confidence in the delivery of their sponsorship. Once you have set out your strategy and objectives, search for an event sponsor that aligns with your purpose and event vision.

Sponsors will likely want to ask you who your demographic and psychographics are of the delegates you are attracting to your event. They will want to be assured that this fits with their brand and their own objectives.

It is important that event planners also ensure the event sponsor aligns with your event purpose and objectives as this may deliver conflicting messaging to those attending your event.

There are a few ways to easily integrate sponsorship into your stream:

Approaching a potential sponsor

Find out who the decision-maker is in the company and reach out to them directly. You may want to start your approach with a friendly proposal letter, outlining the various sponsorship packages/ levels.

Communicate clearly. Outline the benefits of sponsoring your event, what can you offer them in return for their financial help? Is it increased brand exposure, lead generation, or data insights into your audience?

Outline your UPS (Unique Selling Point) and offer insights into the audience who will be attending your event. If you have previously run this event, you can support your claims with past data of your event and audience.

Return on Investment (ROI). How will you be collecting your data of the event? Will you offer this information to your sponsor as part of their ROI strategy?

Promote your sponsors before and after the event

Everyone loves a little shout out! Give your sponsors a shout out on social media and feature them in a prominent location on your event app or platform. Make sure your delegates know who your sponsors are and what role they will play at your event.

You may want to consider incentives for your audience to engage with your sponsors. You may offer to enter a sponsored competition, offer a discount code to your sponsors product website, or an incentive for downloading their app etc.
